Person complaining of missing mail... What do you experienced people do?

Hi All...

 

So, I'm still relatively new but would like to know what people do when someone complains they have not received their item.
I sell lower cost items, and replacing or refunding IS possible... but do I?

I note in my listings I take no responsibility etc... but in order to offer good customer service, I feel I have to replace/refund.

I am guessing a lot of you will say I should factor it in to my costings, or it's how it works as a seller, we get screwed etc with this type of thing, but I guess I am curious what you all do.

I have never had that "negative" or neutral feedback, so I guess it is coming, and if I don't replace this persons $8 worth of goods, they will leave negative feedback no doubt.... 
I know I know, it's just $8... but it burns when i did everything right, I even emailed them a copy of the picture I take of the mail before they leave my home!

 

Are they allowed to leave negaitve feedback if it is not my fault it got lost?

Any thoughts, expereince, opinions would be apreciated here... I should be pleased, it's my first lost item (30 days ago it was posted), BUT, well, they are being quite abrupt and clearly have an expectation I have to replace it, and that sux even more. If you had been nicer and not assumed, I might have jumped to help!!!! LOL

Thanks for your thoughts here... They leave "weird feedback" to their sellers... Like the letter Z, or a full stop... They never write anything. Odd.

Thank you for taking the time, and pointing me towards my error in my listings. I will research that better. I made the mistake at looking at other listings selling similar product, and they all have the "We do not take responsibility for Aust Post" etc line... I will investigate further etc 🙂

Soooooo... for those with the patience to kindly answer 🙂 One more question

If something is lost in the mail, it is always my issue, and the buyer always gets a refund or replacement, yes?
Is that just the way it is? 

Because I am NEW (sorry putney), I am curious and trying to do my best. So, I would like to confirm or learn what is best/expected... and funny enough, it isn't always easy to navigate eBay and the rules and expectations. 

And a huge thank you for your time. I said to my partner tonight, I'll go in and ask the forum, as they will have opinions and ideas to help, and you have, so thanks again. Person has been refunded, it just seems a bit sucky, you know, that we have to do that even if they are scammers! But some great ideas from you all there too, for future reference, so cheers

There's not much you can do except to replace.  The first time it hurts, but you only get a few now and then.  In 3 years of selling, and posting many items, most large letters, I've only had half a dozen 'go missing".  Just send them an email, saying that you are happy to replace them,and they are in the mail.  Take a screen snap shot of the transaction, and get the post office to stamp and sign it, in case it goes missing again.  Keep all correspondence with the buyer, for future, in case you need it.

We use regular large letter mostly so we have no tracking. Therefore we have to self-insure.

 

We always check their FB history for any patterns first.

Then politely ask them a couple of questions.

Please validate we have used the correct address? Yes... It does happen. They get it wrong sometimes.

Please check with you local PO to see if they are holiding it. They don't always leave a card.

 

Once they do these things and they are polite about the whole thing we just send out an immediate replacement item.

 

If we can see bad FB history we take it a step further.

We let them know we will be raising an Australia Post investigation and that they may be contacted and asked to sign a statutory declaration.

We also let them know we will be reporting their activities to ebay.

Quite often after this the item suddenly shows up.

Sometimes we will still replace the item.

If they persist and are angry about it we will refuse the refund or replacement. This is not very often thankfully.

 

We are currently trialling another method of putting off the would be scammers. But not prepared to divulge what it is at this time. But does show some promise tho.

 

We had one that ended badly recently that I have detailed in another thread on here. But we ended up coming thru it OK in the end.

 

We end up sending out replacements about 1 in 500 items mailed out, so not too bad.

Yes, it seems that I have only lost this one, so far, in about 400 things posted, so I can't complain.
I love all your ideas there, and will look at doing those steps.

 

I did ask them if they had checked at the post office etc, to which they said yes.
They were very abrupt and not really wanting to say much, but clearly expecting me to resolve.
I was not happy with their "style" of feedback, however, 99% of the the feedback they have left has been positive, but just a . or a Z or something like djndjkvb for example - WHY do that??!! 

I have refunded them in full, sent an apology with that PayPal transaction and to their eBay account, and I have blocked them as a buyer. They may be legit, who knows, but for now, while I find my feet, any non payers and now, this person, I am blocking... is that eBay etiquette??? I'm not sure! haha
Now I wait... do they leave positive feedback or not! We'll see!

Again, thank you for your answer, and to everyone who took the time.
I truly asked to LEARN, and I searched before I asked, so apologies to those who feel it has been asked or said a million times before.

New at missing items in the post, or new at selling? You have selling feedback going back to 2004!

 

Great that you got it all sorted out and hopefully you won't cop a neg. Sadly, some buyers will still leave a neg, because they can, despite everything turning out in their favour. Given that you have an impeccable record, with no negs ever, I doubt buyers will worry too much if you do get one for this (even though it will burn you!). I would be very surprised if it affects your sales. If someone decides not to buy because of one red dot, you probably don't want them as a customer anyway!

You are right, I did sell way back when, in 2004! But, fresh back now, the last 3 months, after about 8 years of no selling! Maybe more!!

And new at lost items, yes, sigh! But, this I will have to deal with no doubt, and people here have been encouraging that it is often rare etc - fingers crossed! 

I was saying to Hubby, far out, maybe I should just get my negative feedback, and burn and rant about it, and be done with it... LOL... some nasty buyer out there is probably itching to have a crack at my record! It'll happen I guess 🙂
