When the item arrives in Australia and is processed in Sydney, you should be contacted by phone and with text follow-up. It may read something like this:
Xxxx (Courier/shipping company) shipment xxxxxxxxxxx requires your payment of duty and taxes before delivery can be arranged. please refer to email we sent you or use link below to pay now :
https://www.bpoint.com.au/pay/xxx/amount=xxx.xx
Duty: $xx.xx
GST: $xxx.xx
Customs Electronic Entry Fee: $xx
TOTAL: $xxx.xx
Regards,
FedEx Australia cxxx@fedex.com

(Iโm using FedEx as an example.)

Hey thanks so much for the quick reply your advice is very helpful, is there a way to reduce the amount of money that has to be payed? Or is the cost just set with no way around it.

No way at all.
The amount payable is legislated.
If it were possible to reduce that amount, it would be an open secret. There is no avenue of dispensation or special circumstances.
